Timesheets - Project Time Tracking
Purpose
Track how much time goes into each client project. This is essential to understand project profitability and unit economics - it tells us whether a project is profitable and helps us price future work correctly.
Who
Prompt engineers working on client projects.
How to Log Time
Option A: From Timesheets (recommended)
- Go to Timesheets
- You'll see a weekly grid - each row is a project
- Click on a cell and enter your hours for that day
- Add a brief description if needed
This is the fastest way to log your whole day in one go.
Option B: From a Project Task
- Go to Projects
- Open your assigned project and click a task
- Go to the Timesheets tab
- Click Add a line - enter hours and description
This is useful when you want to log time against a specific task while you're already looking at it.
Task Categories
Keep it simple. Use these task types within each project:
| Task | What it covers |
|---|---|
| AI Content Generation | Prompting, generation, iteration, review |
| Post-Production | Editing, retouching, final adjustments |
| Meetings | Client calls, briefings, internal syncs |
Best Practices
- Log daily - don't wait until Friday. Two minutes at the end of the day is enough.
- Be honest - the goal is visibility, not surveillance. Approximate is fine.
- Round to 0.5h - no need for exact minutes (e.g., 3.5h, not 3h 27m).
- One line per project per day - keep entries minimal and easy to scan.
Knowing that Toyota took 40h and Turbo took 12h this month lets us price projects correctly, staff the team better, and understand where time really goes.
